Junk E-Mail Tab

Junk e-mail can strain networks, clog e-mail servers, and fill mailboxes with unwanted messages and images. Outlook Web Access helps you control unwanted and unsolicited messages by letting you create and manage lists of trusted and untrusted e-mail addresses and domains.

Most of the changes that you make to the Safe Senders, Blocked Senders, and Safe Recipients lists are automatically saved when they are entered. If you make any changes that are not automatically saved and do not click Savesave to save your new settings, you will receive a prompt with the options Save, Don't Save, and Cancel.

Do not filter junk e-mail   Choose this option if you want to turn off junk e-mail filtering. If you choose this option, you will be unable to control unwanted and unsolicited messages. It is not a good security practice to disable junk e-mail filtering.

Automatically filter junk e-mail   Choose this option to enable junk e-mail filtering. After you choose this option, Outlook Web Access processes incoming mail based on the senders and recipients lists. After a suspected junk e-mail message is identified, it is moved to the Junk E-mail folder. We recommend that you use junk e-mail filtering. By default, junk e-mail filtering is turned on.

   Deleting an item in the Junk E-mail folder moves the item to the Deleted Items folder. Emptying the Junk E-mail folder permanently deletes all messages in the folder. To empty the Junk E-mail folder, right-click the folder name, and then click Empty Junk E-Mail.

Manage Junk E-Mail Senders and Recipients Lists

Use the Safe Senders List, the Safe Recipients List, and the Blocked Senders List to control how messages that are sent to you are treated by the junk e-mail filter based on who they are from or what address they were sent to.

When Outlook Web Access checks incoming messages, your junk e-mail filter gives precedence to e-mail addresses over domains. For example, the contoso.com domain is on your Blocked Senders List and the address ted@contoso.com is on your Safe Senders List. The address ted@contoso.com will be allowed to send e-mail messages to your Inbox, but all other e-mail addresses that have the domain contoso.com are sent to your Junk E-mail folder.

When you enter domains, you do not have to include the "at" (@) sign. Outlook Web Access automatically adds it. For example, to add the domain contoso.com to a list, you must enter only contoso.com.

Manage Safe Senders List

Safe senders are domains and people from whom you want to receive e-mail messages.

  • To add a sender to the list, under Manage Safe Senders List, click Add, type an e-mail address or domain in the text box, and then press ENTER.
  • To modify a sender in the list, select the sender, and then click Edit. Change the entry, and then press ENTER.
  • To remove a sender from the list, select the sender, and then click Remove. You can use the SHIFT key to select multiple adjacent senders or the CTRL key to select multiple senders that are not adjacent.
  • To include your contacts as safe senders, select the Also trust e-mail from my Contacts check box. If you turn this option on or off, you must click Savesave to save your new settings. If you do not click Save before you leave the Junk E-Mail page in Options, you will receive a prompt that gives you the following choices: Save, Don't Save, and Cancel.

Manage Blocked Senders List

Blocked senders are domains and people from whom you do not want to receive e-mail messages. Messages that are received from any e-mail address or domain on your Blocked Senders List are sent directly to your Junk E-mail folder.

  • To add a sender to the list, under Manage Blocked Senders List, click Add, type an e-mail address or domain in the text box, and then press ENTER.
  • To modify a sender in the list, select the sender, and then click Edit. Change the entry, and then press ENTER.
  • To remove a sender from the list, select the sender, and then click Remove. You can use the SHIFT key to select multiple adjacent senders or the CTRL key to select multiple senders that are not adjacent.

Manage Safe Recipients List

Safe recipients include distribution lists that you are a member of and from which you want to receive e-mail messages. You can also add individual e-mail addresses to your Safe Recipients List. A recipient is the intended destination of a message. A recipient can be an individual mailbox or it can be a distribution list.

  • To add a recipient to the list, under Manage Safe Recipients List, click Add, type an e-mail address or domain in the text box, and then press ENTER.
  • To modify a recipient in the list, select the recipient, and then click Edit. Change the entry, and then press ENTER.
  • To remove a recipient from the list, select the recipient, and then click Remove. You can use the SHIFT key to select multiple adjacent recipients or the CTRL key to select multiple recipients that are not adjacent.

Other Junk E-Mail Options

Treat all e-mail as junk unless it comes from someone in my Safe Senders or Safe Recipients lists, or from senders in my organization   In addition to the Safe Senders, Safe Recipients, and Blocked Senders lists, you can configure Outlook Web Access to treat all e-mail as junk unless it comes from someone included in your Safe Senders or Safe Recipients lists, or from senders in your organization. If you turn this option on or off, you must click Save save to save your new settings. If you do not click Save before you leave the Junk E-Mail page in Options, you will receive a prompt that gives you the following choices: Save, Don't Save, and Cancel.
