Sample Welcome Message

This topic contains sample text for a welcome e-mail message to send to new users. Use a welcome message to tell users about their new cloud-based e-mail account and give them the user ID and password to sign in to their account for the first time.

Instructions

This welcome message is designed to be used with the Microsoft Office Word merge mail process and a data source, such as a CSV import file that contains the information that you want to merge into the welcome message. The text contains placeholders for inserting user-specific information into the mail merge fields. For more information, see Send a Welcome Message to New Users.

The sample text also contains placeholders and URLs so you can insert hyperlinks to help resources at help.outlook.com.

  1. In the sample text block, click Copy Code.
  2. Paste the text into a new Word document, and then format the text.
  3. Customize the welcome message as necessary.
  4. Insert hyperlinks to Web pages, and then delete the placeholder text.
  5. Save the Word document.
  6. Use the welcome message as the starting document in Word mail merge.

We've created an e-mail account (<Insert EmailAddress field>) for you! This helps ensure the flow of official e-mail from <Type your organization's name> to you and won't be affected by changes in your e-mail addresses, mail programs, or your Internet service provider. We encourage you to use this account as your primary e-mail address.
With your new account, you get:
Access from anywhere. Use a Web browser to access your mailbox from any computer that has an Internet connection.
Access to your other e-mail accounts. Use this account to send and receive mail from your other e-mail accounts. You can also use other e-mail programs to connect to your mailbox.
Voice mail in your mailbox. Receive and listen to voice mail messages in your mailbox.
Access your mail from your mobile phone. Use your mobile phone to access your e-mail, voice mail, contacts, and calendar information.
Chat with friends and family. Use your account to chat with friends, family, and colleagues, just as you would with any instant messaging service.
Sign in for the first time
Your account is ready to go. Just sign in, register your account, and you'll be up and running.
To connect:
1. Go to https://www.outlook.com/domain <for example, if your domain is contoso.edu, you would use https://www.outlook.com/contoso.edu. Also, insert a hyperlink so users can click to sign in.>
2. Use the following credentials to sign in:
User ID: <Insert EmailAddress merge field>
Password: <Insert Password merge field>
3. Click Sign in.
4. Complete the account registration by verifying your account information. If you forget your password, this information will help verify your identity.
Tip: Add https://www.outlook.com/<your domain name> to your favorites list to make it easy to sign in.
Change your password
We created the temporary password that you use to sign in for the first time, but we recommend that you change this password as soon as possible so you're the only one who knows your password.

Example of a formatted welcome message

The following example is a formatted version of the welcome message for a Live@edu organization. It contains user- and organization-specific information. The following table shows the value inserted for each mail merge field:
