Live@edu Organization for Outlook Live

Microsoft now has a new feature set available to educational institutions enrolled in the Live@edu offering that are using Outlook Live: Live@edu Organization. This new feature set provides significant administrative flexibility and is the default for all new Live@edu customers who select Outlook Live.

The current feature set, Live@edu Consumer, limits privacy features that allow access to user data. This feature set is no longer offered for new enrollments. However, currently enrolled schools can continue to use this feature set.

Each feature set has its own Terms of Use. You can move your educational institution to Live@edu Organization by accepting the associated Terms of Use. To select the feature set that is right for your school, consider the following:

  • The privacy policy you want to apply to end-user data
  • The management features that are available to administrators. Specifically, for Live@edu Consumer, most of the privacy-related management features that let an administrator view or access the contents of a user's mailbox are disabled. Reset Password and Supervision Policies are enabled to let you more efficiently support your users.
  • The applicable Terms of Use between Microsoft and the organization (your school)
  • The applicable end-user Terms of Use

Important   You have to accept the Live@edu Organization Terms of Use to enable the privacy policy, management features, and end-user terms of this feature set. If you don't take action, your current terms of use and the associated feature set will remain unchanged.

Privacy policy

All data that is stored in the Outlook Live data center is owned by the organization, subject to the Terms of Use established between the organization and the end user, and the privacy policy of the organization.

Administrators can't access data that is stored in the Outlook Live data center.

Management features

The full feature set is available. This includes the following privacy features:

  • Reset Password
  • Delivery reports (message tracking)
  • Multi-Mailbox Search
  • Outlook Live Directory Sync (OLSync) password synchronization
  • Exchange Web Services application impersonation
  • Remote device wipe
  • Organization-wide rules (transport rules)
  • Supervision Policies

Most privacy features are disabled, with the following exceptions:

  • Reset Password is enabled to let you efficiently support end users.
  • Supervision Policies are enabled to help you comply with some requirements of the Children's Internet Protection Act (CIPA).

Future product updates will exclude any new privacy features.

Terms of Use between Microsoft and the organization

The administrator accepts the Terms of Use for the organization. The organization is responsible for obtaining consent and establishing the organization's Terms of Use with students.

The administrator accepts Terms of Use for the organization. Students must accept the Microsoft Terms of Use.

End-user Terms of Use

There is no contractual privity between Microsoft and the end user with respect to the Outlook Live e-mail solution.

End users must accept the Microsoft Terms of Use before they sign in to Outlook Live for the first time.

Live@edu Organization

Live@edu Organization is the recommended feature set for new Live@edu enrollments that select Outlook Live. Live@edu Organization enables the users in your organization to be fully managed by school administrators and provides your IT staff with the most complete functionality available. Your administration has full access to e-mail data and full control of user accounts with the following:

  • The ability to reset passwords
  • The ability to track messages
  • The ability to conduct multi-mailbox searches
  • The ability to use OLSync password synchronization
  • Access to Exchange Web Services application impersonation
  • The ability to remotely wipe data from a user's mobile device
  • The ability to create complex transport rules to control the flow of e-mail messages inside, and into and out of their organization.

This feature set is appropriate when your organization includes faculty, staff, and students.

The features that are included with Live@edu Organization change the current underlying data ownership model and contract relationship with Microsoft.

Organization Terms of Use relation to user

In Live@edu Organization, Microsoft and the educational institution enter into a top-level Terms of Use for the Live@edu core service, which currently is the ability to provision Windows Live IDs and the Outlook Live e-mail solution. There is no contractual privity between Microsoft and the end user for use of the Outlook Live e-mail solution. Instead, the applicable end-user Terms of Use is the agreement that is established between the educational institution and the end user (i.e., Acceptable Use Policy, student code of conduct, employment agreement, and so on). The applicable privacy policy for end-user data stored in the e-mail solution is also that of the organization, not Microsoft. Because the organization is responsible for obtaining consent and establishing Terms of Use with students, age-based consent, in the jurisdictions where applicable, will be suppressed. Obtaining age-based consent, where applicable, will be the obligation of the organization, and Microsoft will rely on the organization’s agreement to obtain such consents.

Microsoft has established policies that determine program availability for particular locales. These policies may restrict service availability, but in no circumstance does the availability of a service necessarily imply compliance with local laws and regulation. Live@edu Organization relates specifically to the Live@edu core service, which currently is the ability to provision Windows Live IDs and the Outlook Live e-mail solution. End users may access other Live services by using their Windows Live ID pursuant to the Microsoft standard consumer Terms of Use applicable to such properties.

Live@edu Consumer

You may decide to remain with Live@edu Consumer if the educational institution doesn't need or want access to user's data. For example, a school may provide an e-mail solution for alumni. Because the e-mail address is for the personal use of the individual, you may prefer that the administrator has no access to the e-mail data and has limited control of the user account.

Consumer terms of use relation to end user

In Live@edu Consumer, before an end user can authenticate with the Outlook Live e-mail solution, the end user must agree to standard consumer Terms of Use, which is the Windows Live Service Agreement, with Microsoft. Additionally, as part of the standard use terms, in applicable jurisdictions, the end user will be asked to provide verifiable parental consent if the end user is underage. At the top-level Terms of Use, Microsoft and the educational institution enter into Terms of Use with respect to Microsoft providing the service to the institution. However, for end users, the Windows Live Service Agreement controls use of the service, and the Microsoft Online Privacy Statement is the applicable privacy policy.

FAQs

Does the school have to sign new Terms of Use to enable the Live@edu Organization features?

Yes. Follow the instructions in the e-mail correspondence you have received to accept the new Terms of Use.

I have to review the Terms of Use before I sign. Will our Admin have access to it?

Yes. You can review the Live@edu Organization Terms of Use and additional information about the contract model at the Terms of Use Web site.

If I accept the Terms of Use for Live@edu Organization, when will I see the new features and functionality in Outlook Live?

The features of Live@edu Organization will be available approximately seven to ten days after you accept the Terms of Use.

If my school doesn't accept the Terms of Use for Live@edu Organization, what happens next?

By declining to accept the Terms of Use for Live@edu Organization, your school will remain with Live@edu Consumer. You will continue to have the ability to reset end-user passwords. However, no additional privacy features will be enabled for your domain.

What happens if I change my mind? Can I go back?

It is very important that you review all available information and decide on the best choice for your school before you accept the new Terms of Use. At this time, we do not support migration for customers who accept Live@edu Organization but later want to move back to the current service.

Will changing to Live@edu Organization interrupt my service or require end user action?

No. You won't experience any downtime because of making this change. The transition has no effect on users.

What happens when a user signs in for the first time?

The first time that Live@edu Organization users sign in to Outlook Live, they are prompted to provide only their location and the answer to a secret question that they select. This information lets us help a user recover a lost password. Users are still prompted to accept terms of use and, where applicable, provide age verification when they use other Live services.

Additionally, they must type the characters shown in a picture. Where applicable, under-age users must provide age verification.
