When you plan a meeting, you can check the schedule of the required and optional attendees you chose from the shared address book to find the best time for everyone to meet.
How do I check the availability of attendees?
In the meeting request form, type the names of the people you want to attend your meeting, and then click the Scheduling tab.
The available times are adjusted based on each attendee’s working time. If one or more attendees are in a remote time zone, Outlook Web App might not find any available times.
Click to select the time you want and return to the Appointment view.
